The Details tab shows all the main information about a Work Order. The following information is displayed about a work order:
MWA Number - This is the identifying number for the work order. The MWA number is a unique sequential number. It is automatically assigned by Pinnacle, and cannot be edited.
Location - This is the full location for the work order, and is the location where the asset can be found. Pinnacle will also display below the location field whether authorisation is required for work orders raised for the selected location (and thus if authorisation is required for the current work order). On the left of the location drop down list is the locator box, where you can enter a 4 digit location code. This will limit the locations in the drop down list to those that begin with the location code entered into this locator field. After you select a location, Pinnacle will display the store notes for that location.
Requestor - This is the name of the staff member who requested the work order. You can only enter the requestor once you have selected a location for the work order. If the location selected for the work order has the Auto send Maintenance Work Authority flag turned on, Pinnacle will display the words "Authorisation Required" next to the Requestor field.
Asset Title - This is the type, description, and asset number of the asset. You can select the asset title from the list of available assets. The list of assets is only available after you have entered the Requestor for the work order. When you select an asset, Pinnacle will check to see if there are existing work orders for the same asset. This means that you can check that a work order hasn't already been added for the same problem. Pinnacle will also check if the problem may be under warranty. Pinnacle will also display a window listing any permits that are linked to the selected Asset or the selected Location.
MWA Status - This is the current status of the work order. Pinnacle will automatically determine the work order status, and you cannot edit this.
Address - This is the full address of the location for the work order. This will be filled in by Pinnacle when the location is selected, and you cannot edit this on the work order.
Description of Problem - This is the description or details of the work to be carried out by this work order. You can only enter a description of the problem after you have selected an asset. If you need to enter a longer description than can be seen on the Details tab, there is an Extension button (...) next to the field. If you click on this button, Pinnacle will display a window that will allow you to type in a much longer description. When you close the window, as much of the description as possible will be displayed on the Details tab.
Fault Type - This is the type of fault for the work order. You must select a fault type from the list of failure codes defined in the Failure Codes table. You can only select a fault type after an asset has been selected.
Trade (Skill) - This is the skill required to carry out the work order. The list of skills displayed is limited to the skills that are assigned to the contracts for the location. You can only select a skill after a Fault Type has been selected.
Contract - This is the contract number if the work order is to be carried out under a contract. You can select a contract from the list of available contracts. Pinnacle limits the available contracts to contracts that are assigned to the property, where one of the asset types attached to the contract is the same as the asset type of the selected asset, and where one of the skills assigned to the contract is the same as the skill selected for the work order. You can only choose a contract after you have selected a Priority. If the work order is under manufacturer's warranty, Pinnacle will automatically set the contract to the contract for the asset labour warranty.
Supplier - This is the supplier of the contract selected for the work order. This field is automatically filled in by Pinnacle, and cannot be edited.
Supplier Phone - This is the business hours phone number of the supplier of the contract. This field is automatically filled in by Pinnacle, and cannot be edited.
Hours Worked - This is the total number of hours of work that have been done for the work order. The hours worked is entered on the Work Order Closure tab when the work order is to be closed.
Estimated Cost - This is the estimated cost for the work order. Pinnacle will calculate the estimated cost of a work order after you have selected a Fault Type, but you can overwrite this if you wish. You can only enter an estimated cost after you have selected a Trade (Skill). If the estimated cost exceeds the authorisation limit for the location, the High Value Authorisation Required flag will be set to "Yes".
Quoted - This indicates whether the Estimated Cost field is a figure that has been quoted by the contractor. If the Quoted flag is checked, Pinnacle will ask you to confirm if you want to overwrite the Estimated Cost figure when the estimated cost is automatically recalculated. The Estimated Cost field will only be recalculated if you change the Location, Asset, or Fault Type for the work order.
Maintenance Type - This is the maintenance type for the work order. You must select a maintenance type from the list of maintenance types defined in the Maintenance Types table. You can only select a maintenance type once you have selected a Trade (Skill).
General Ledger - This is the budget code that costs for this work order should be recorded against. You can only select from active budget codes that have been assigned to the location selected for the work order. If there are no budget codes for the location, Pinnacle will display the budget codes for the first parent location in the location hierarchy that has budget codes assigned. Additionally, you will only be able to see budget codes that you have access to. You can only select a budget code once you have selected a Maintenance Type.
Priority - This is the priority of the work order, which indicates the urgency with which the work order must be completed. You must select the priority from the list of priorities that have been assigned to the location selected for the work order. If you change the priority of a work order, Pinnacle will ask if you wish to recalculate the due date for the work order. You can only select a Priority once you have selected a General Ledger.
Defer Work Order - This indicates whether you want to defer the work order. Pinnacle will turn the Defer Work Order flag on if the Defer flag is checked for the Priority against the location. You can overwrite this if you wish, but you can only edit the Defer Work Order flag after you have selected a Priority.
Dispatch Date - This indicates the date that the work order will be dispatched. If you choose to defer the work order, you can alter the Dispatch Date. Pinnacle will automatically set the Dispatch Date to the current date plus the number of days specified for the Priority against the location, if the Defer option is turned on for the Priority against the location. You can overwrite this if you wish, but you can only edit the Dispatch Date after you have selected a Priority.
CML Year/Period - This is the budget year, budget period, and week of the Dispatch Date. Pinnacle will automatically calculate this field, and you cannot edit it. If there is no Dispatch Date, the CML Year/Period will remain blank until the work order is dispatched.
Maintenance Supervisor - This is the maintenance supervisor of the location selected for the work order. This will be filled in by Pinnacle when the location is selected, and you cannot edit this on the work order.
MWA Created By - This is the name of the user who created the work order. This will be filled in by Pinnacle when the work order is created, and you cannot edit this.
High Value Authorisation Required - This indicates whether special authorisation is required due to the high value of the work order. Pinnacle will automatically set this flag if the Estimated Cost of the work order exceeds the authorisation limit for the location, and you cannot edit it.
High Value Authorised By - This is the staff member who gave the high value authorisation for the work order. Pinnacle will automatically set this field when the high value authorisation is completed, and you cannot edit this field.
High Value Authorised Date - This is the date that the high value authorisation was given. Pinnacle will automatically set this field when the high value authorisation is completed, and you cannot edit this field.
Insurance Expiry Authorisation Required - This indicates whether special authorisation is required due to the impending expiry of insurance policies of the supplier for the contract associated with the work order. Pinnacle will automatically set this field when the work order is raised, and you cannot edit this field.
Insurance Expiry Authorised By - This is the staff member who gave the insurance expiry authorisation for the work order. Pinnacle will automatically set this field when the insurance expiry authorisation is completed, and you cannot edit this field.
Insurance Expiry Authorised Date - This is the date that the insurance expiry authorisation was given. Pinnacle will automatically set this field when the insurance expiry authorisation is completed, and you cannot edit this field.
FMMS Base Time Create Date - This is the date and time that the work order was created. This date and time is dependant on the location of the central FMMS (Financial Maintenance Management System) installation.
FMMS Base Time Commence Date - This is the date and time that the work order was commenced. This date and time is dependant on the location of the central FMMS installation.
FMMS Base Time Complete Date - This is the date and time that the work order was completed. This date and time is dependant on the location of the central FMMS installation.
FMMS Base Time Finalised Date - This is the date and time that the work order was finalised. This date and time is dependant on the location of the central FMMS installation.
Site Time Create Date - This is the date and time that the work order was created relative to the work order location. This date and time is based on the FMMS Base Time Create Date plus or minus the time difference of the time zone for the location of the work order. Pinnacle will automatically determine this date, and you cannot edit it.
Site Time Commence Date - This is the date and time that the work order was commenced relative to the work order location. This date and time is based on the FMMS Base Time Commence Date plus or minus the time difference of the time zone for the location of the work order. Pinnacle will automatically determine this date, and you cannot edit it.
Site Time Complete Date - This is the date and time that the work order was completed relative to the work order location. This date and time is based on the FMMS Base Time Complete Date plus or minus the time difference of the time zone for the location of the work order. Pinnacle will automatically determine this date, and you cannot edit it.
Site Time Finalised Date - This is the date and time that the work order was finalised relative to the work order location. This date and time is based on the FMMS Base Time Finalised Date plus or minus the time difference of the time zone for the location of the work order. Pinnacle will automatically determine this date, and you cannot edit it.
The Work Order Details tab also displays a summary of the attributes for the location. Pinnacle will automatically display the attribute information when you select a location, and you cannot edit this from the work order. The attribute information displayed is:
Attribute Name - This is the name of the location attribute.
Attribute Value - This is the value of the location attribute.
Units - This is the unit of measurement for the location attribute.
Sort Order - This is the sort order for the location attribute.
Attribute Group - This is the attribute group for the location attribute.
If at any time while adding a work order you wish to cancel the addition of the work order:
Click the Cancel button on the Work Order Details tab.
Pinnacle will ask if you want to save the work order. Click the No button.
Pinnacle will stop adding the work order.
When you add a work order, Pinnacle automatically adds a single task to the work order. If a work order requires more than one single step to complete, you can add further tasks to the work order.
Open the Work Order Module.
Find the work order to which you want to add new tasks.
Click the Tasks
button next to the Description of Problem field.
Pinnacle will display the Work Order Tasks window.
Click the Add
button to add a new task.
Pinnacle will automatically number the task.
Enter the task description.
Click the OK button.
Open the Work Order Module.
Find the work order from which you want to delete tasks.
Click the Tasks
button next to the Description of Problem field.
Pinnacle will display the Work Order Tasks window.
Highlight the task that you want to delete.
Click the Delete
button.
Pinnacle will delete the task.
Click the OK button.
Work Order Pre-Dispatch Process
