The Ledger Component window allows you to set up the actual components, or account codes, for your chart of account.
The top of the Ledger Component window shows a drop down list that displays the component structures that you have defined in the Ledger Structure table. You can select any component structure by clicking the drop down arrow and choosing a new component structure. As you change between component structures, the system will display option buttons for each level that has been defined for the selected component structure. If the component only has one level defined the system will not display the option buttons, as you could only choose level one.
The Ledger Components table has several different tabs for defining your components. The tabs are: Browse and Details.
The Browse tab displays summary information about the components. You can see the component code, the component name, and the code that this component rolls up to. The components shown in the browse list are the components that have been added to the ledger for the component structure selected in the drop down list of component structures, and at the level chosen by the level option buttons.
The Details tab shows the detailed information that you can record about each ledger component. The fields available on the Details tab are:
Code - This is the code that you can use to identify this component. You must enter a code for each component, and each code must be unique for this component structure and level. This means that you can use the same code for a different component structure, or for a different level of the same component structure. An existing code can be edited as long as it does not conflict with another existing code.
Name - This is a longer descriptive name for the component.
Full Code - This is the full code for this component. The full code is made up of all the component codes that this component rolls up to. If the component is a level one component, the full code will simply be the component code, e.g. "Code1". If the component is a level two component, the full code will be the code of the level one component that this component rolls up to, plus the component code, e.g. "Code1Code2".
Rolls Up To - This is the code that the component rolls up to in the Chart of Accounts structure. For all components that are not defined as level one components, you must select a Rolls Up To. This is the component code that the costs for this lower level component code will be rolled up to.
Pinnacle will also display expenditure and commitment posting information for the component:
Expenditure Amounts - This is the amounts that have been expended against the component code, broken down into the contract, labour, materials, and miscellaneous expenditure. The expenditure total is also displayed, which is the sum of all the expenditure for the component code.
Commitment - This is the current level of outstanding commitment against this component code. This figure indicates the cost of work order that have been raised in the MWA (Work Orders) Module against this component code, but have yet to be completed.
