Property Groups Table

Property Groups provide a means to group similar properties together. You may have several properties that are all very similar in type. You can use property groups to group these properties in order to assign the same attributes to each property.

You can create any number of property groups, and locations from any level of the hierarchy can be assigned to any property group.

For example, a level in the hierarchy called "Building" would probably cover a wide range of buildings, from office buildings to hospitals, each of which might have vastly different attributes. You can set up property groups to match the types of buildings you wish to record information for, and assign the actual locations to each different group. This will result in the different buildings all recorded as Buildings, but having their own relevant attributes.

The Property Groups table has several different tabs for recording information about a property group. The tabs are: Browse, Locations, and Attributes.

Browse Tab

The Browse tab is a list of the property groups that have been added to the table. The fields available on the Browse tab are:

Locations Tab

The Locations tab shows the locations that have been assigned to the property group. The locations are properties that have been set up in the Property Module. A location can only be assigned to one property group. Once a location has been assigned to a property group, it will not be available to assign to other property groups.

The Locations tab displays two boxes. The box on the left hand side of the window displays all the locations that have been assigned to this property group. The box on the right hand side displays all the locations that are available to be assigned to this property group.

To assign a location to a property group:

  1. Open the Property Groups Table.

  2. Find the property group to which you wish to locations. Change to the Locations tab.

  3. Highlight the location you want to assign in the list of available locations, or use the Control key as you click on the list of available locations to highlight more than one location.

  4. Click on the single left arrow or double-click on the highlighted location.

    The locations you highlighted will move from the list of available locations to the list of assigned locations.

To assign ALL locations to a property group:

  1. Open the Property Groups Table.

  2. Find the property group to which you wish to add locations. Change to the Locations tab.

  3. Click on the double left arrow.

    All available locations will move to the list of assigned locations.

To remove a location from a property group:

  1. Open the Property Groups Table.

  2. Find the property group from which you wish to remove locations. Change to the Locations tab.

  3. Highlight the location you want to remove from the list of assigned locations, or use the Control key as you click on the list of assigned locations to highlight more than one location.

  4. Click on the single right arrow or double-click on the highlighted location.

    The locations you highlighted will move to the list of available locations.

To remove ALL locations from a property group:

  1. Open the Property Groups Table.

  2. Find the property group from which you wish to remove locations. Change to the Locations tab.

  3. Click on the double right arrow.

    All assigned locations will move to the list of available locations.

Attributes Tab

The Attributes tab allows you to assign attributes to a property group. When you have assigned attributes to a property group, any properties that belong to the property group automatically gain the attributes that are also linked to the property group.

When selecting attributes that apply to the property group, you can also specify whether the attribute is to be copied to work orders raised for properties belonging to the property group. If you change the Copy field for an attribute linked to the property group, your modification will take effect when you choose to save your changes. It will not affect work orders that have already been raised for properties belonging to the selected property group.

The attributes are those that are defined in the Attributes lookup table.

The Attributes tab displays two boxes. The box on the left hand side of the window displays all the attributes that have been assigned to this property group. The box on the right hand side displays all the attributes that are available to be assigned to this property group.

If a dynamic attribute has been linked to a property group, the attribute cannot be removed from the property group once it has been used as the attribute to trigger a Planned Maintenance template for a property belonging to this property group. If the attribute cannot be removed from the property group, an icon will be displayed next to the attribute in the list of linked attributes.

To assign an attribute to a property group:

  1. Open the Property Groups Table.

  2. Find the property group to which you wish to add attributes. Change to the Attributes tab.

  3. Highlight the attribute you want to assign in the list of available attributes, or use the Control key as you click on the list of available attributes to highlight more than one attribute.

  4. Click on the single left arrow or double-click on the highlighted attribute.

    The attributes you highlighted will move from the list of available attributes to the list of assigned attributes.

To assign ALL attributes to a property group:

  1. Open the Property Groups Table.

  2. Find the property group to which you wish to add attributes. Change to the Attributes tab.

  3. Click on the double left arrow.

    All attributes will move to the list of assigned attributes.

To remove an attribute from a property group:

  1. Open the Property Groups Table.

  2. Find the property group from which you wish to remove attributes. Change to the Attributes tab.

  3. Highlight the attribute you want to remove from the list of assigned attributes, or use the Control key as you click on the list of assigned attributes to highlight more than one attribute.

  4. Click on the single right arrow or double-click on the highlighted attribute.

    The attributes you highlighted will move to the list of available attributes.

To remove ALL attributes from a property group:

  1. Open the Property Groups Table.

  2. Find the property group from which you wish to remove attributes. Change to the Attributes tab.

  3. Click on the double right arrow.

    All attributes will move to the list of available attributes.
