The Pinnacle Work Order Module has a number of user definable settings which may be specified in the Application Settings window. This window can be accessed by choosing the Application Settings menu option from the Maintain menu in the Administration Module.
The Application Settings window has several options for the Work Order Module: Options, Workflow, Field Names, Field Access, Bitmaps, and Other.
This option allows you to set defaults which will affect the behaviour and appearance of the Work Order Module. The defaults you can specify are:
Agency Name - This is the name of your organisation, or the name that you want to appear on SRFs and faxes.
Address - This is the address that you want to appear on SRFs and faxes.
Post Code - This is the post code of the agency's address.
Agency Reg No - This is the Registration number for the agency that you want to appear on SRFs or faxes.
SRF Header - This is any additional wording that you want to appear as part of the SRF header when an SRF is printed.
Fax Duplicate - This indicates whether you want to send a duplicate copy of SRFs that have been faxed to contractors to another fax number (an accounts department for example).
Fax Duplicate To - The fax number to fax duplicate SRFs to.
SRF Form Name - This is the name of the SRF form to use. This is normally set to "d_r_srf_form" which is the name of the standard Pinnacle SRF form. You can change this to a different form name if you have a custom SRF form written for your organisation.
MWA Form Name - This is the name of the work order form to use. This is normally set to "d_r_mwa_form" which is the name of the standard Pinnacle work order form. You can change this to a different form name if you have a custom work order form written for your organisation.
MWA 2nd Page - This is the name of the second page of the work order form to use. This is normally set to "d_r_mwa_form_page2" which is the name of the standard Pinnacle work order form. You can change this to a different form name if you have a custom work order form page 2 written for your organisation.
Print address on MWAs and SRFs - Whether you want the address printed on work orders and SRFs.
Print material barcodes - This indicates whether you want to print the barcodes for the materials listed for a work order when the work order is printed. You can then use scanners to assist in the completion of work orders.
Print 'Add New Material' barcode - When a work order is printed, you can also have an additional barcode printed on the work order which allows the automation of adding new materials to a work order.
Bypass Printing Allowed - If you want to be able to bypass printing work orders, you can turn this option on. When work orders are due to be printed, the system will display a dialog box that will allow you to choose whether to print the work order or whether to bypass the printing. This is also subject to an access right on an individual basis.
Print MWA Attachments, Data Sheets & Permits by Default - When a work order is printed, the system displays a dialog box to allow you to select if you want to print attachments, data sheets and permits for the work order. If you turn this default option on, the check boxes for attachments, data sheets and permits will be checked on by default.
E-mailed MWA File Type - This is the default file type for the e-mail program to use when e-mailing an MWA.
Include Completed MWAs - This indicates whether you want to include completed work orders in the Overdue Work Orders browser.
MWA Recharging - This indicates whether you want to allow work order recharging.
Default Recharging % - This is the default percentage for work order recharging.
Forward Schedule for X days - This is the number of days to calculate schedules for into the future. For example, if you wanted the system to generate schedules for the next five years, this field would be set to 1825 (365*5).
Default Lead Time X days - This is the number of days before a Planned Maintenance Template is due to display it in the Generate MWA window.
Progressive Postings - Whether to allow progressive postings for work orders. Sometimes it is necessary for a work order to be open over more than one budget period. This means that the costs of the work order are really accumulating over multiple budget periods. Progressive postings means that expenditure for a work order will be posted when it occurs, rather than waiting until the work order is completed and performing all the postings then.
Contract costs via Actuals/Invoices - This flag controls how contract costs are posted to the ledger. If it is set to "Actuals", only contract costs entered on the Actuals Tab of a work order are posted to the ledger. You can still record invoices against contract work orders, but they will be for information only and the costs from the invoices will not be posted. If this flag is set to "Invoices" then the reverse applies: costs from invoices entered against work orders are posted to the ledger. You can still record contract labour and materials in the Actuals Tab of a work order, but these will be for information only and will not be posted. You should decide which posting method you are going to use when you first implement Pinnacle, and you should NOT change this setting once this has been established.
The Workflow option allows you to set defaults that will affect the behaviour of the Work Order module. The defaults you can specify are:
Autogenerate Invoices on Finalisation - This indicates whether an Invoice should be automatically generated when the status of a work order changes to Finalised.
Auto-scroll Budget Codes - This indicates whether Pinnacle should automatically position the budget code field on the Work Order and Template Details Tab based on the value entered into the locations field.
Certify and Authorise SRF in a single step - This indicates whether you want to certify and authorise SRFs in one process, rather than individually.
Commence Auto-generated MWAs - This indicates whether Pinnacle will set the status of automatically generated work orders to In Progress as soon as they are created.
Display Rolled-up Budget Codes on SRF tab - This indicates if you want the Rolled Up To budget code for the work order's budget code displayed on the SRF tab of a work order. This flag would normally NOT be switched on.
Enable MWA Chaining - Work order chaining provides a method of linking separate work orders into a logical group, or "chain" so that the chain can be managed as a single project. This option should be left unchecked unless otherwise advised by your implementation consultant.
Enforce Delegation Checking on MWAs - This indicates whether the delegation checking is required at the different stages of the work order life cycle. If this is enforced, then the appropriate authorisation, depending on the cost of the work order, is required before the work order can progress to the next stage.
Failure entry prompting - This is whether you want Pinnacle to prompt you for the failure code when completing corrective work orders. If you check this option, the system will display a dialog box asking you to choose a failure code when you complete a corrective work order.
Location Specific Markups - This option is related to the work order chaining. This option should be left unchecked unless otherwise advised by your implementation consultant.
E-mail Commenced MWAs - This indicates whether you want to automatically e-mail work orders when the status of the work order changes to In Progress.
Print Commenced MWAs - This indicates whether you want to automatically print work orders when the status of the work order changes to In Progress.
Record Actuals - This option is related to the work order chaining. This option should be left unchecked unless otherwise advised by your implementation consultant.
Record Labour Variations - This option is related to the work order chaining. This option should be left unchecked unless otherwise advised by your implementation consultant.
Require SRF Authorisation Before Commencement - This indicates whether you require the SRF to be authorised before it can be commenced.
Require SRF Authorisation Before Printing SRF - This indicates whether you require the SRF to be authorised before it can be printed.
Require SRF Est/Quote Before Commencement - This is whether you require a value in the Quote field for an SRF before the work order can be commenced.
Shift Log Interface - This is whether you want to interface the Work Order module with the Schedule Module Shift Logs. The Shift Log functions can be run independently, but if this option is switched on, when any in-house work orders are commenced you will be able to specify which Shift Log to attach the work order to.
The Field Names option allows you to specify some names to use in the Work Order Module if the default values do not suit your organisation. The field names you specify will be used throughout Pinnacle wherever the field appears.

Work Element
The Field Access option allows you to decide what fields can be edited at what stages of the Work Order life cycle. You may want to restrict editing of some fields at certain stages, and the Field Access option allows you to set the restrictions.
The Field Access option displays a list of the fields that may require some restrictions, and a check box for each of the stages of the Work Order life cycle. To allow or restrict editing of the field at a stage of the work order life cycle, simply turn the work order stage check box on or off for the selected field.
Some fields must be able to be edited at particular stages of the life cycle, and you will not be able to change these default values. These fields are:

This option allows you to define the bitmap that appears on all of the printed work order and SRF forms. The bitmaps you can specify are:
Agency Bitmap - The file location and name of the bitmap to appear on the printed work order and SRF forms.
When you select a bitmap file, Pinnacle will display the bitmap, as it will appear on the reports, to show you how the picture will appear.
This option allows you to specify some other miscellaneous defaults for the Work Order Module.
The defaults you can specify are:
Default Maintenance Type when create from Assessment Work Element - This is the maintenance type to use as the default for a work order when work orders are created from Condition Assessment Work Elements. You can select the maintenance type from the list of maintenance types defined in the Maintenance Types table.
Default MWA Priority when create from Assessment Work Element - This is the priority to use as the default for a work order when work orders are created from Condition Assessments. You can select the priority from the list of priorities defined in the Priorities Table.
MWA Status to Auto-finalise Assessments - This is the work order status to use to indicate that when work orders attached to assessments reach this status, the assessment can be automatically finalised. You can only choose from the Work Complete or Finalised statuses.
Allow Multiple Selection - This indicates whether you can highlight more than one condition assessment when looking at the Condition Assessments Browse tab.
Default Rate Type - This is the default rate type to use for in-house skills on new work orders. The rate type can be changed on individual work orders if necessary.
Add to 'Authorisation Required' if Supplier Insurance is within N days of Expiry - If the insurance for a supplier is within a certain number of days of expiry when a work order using the supplier is raised, then the work order must be authorised. This field indicates the number of days prior to the expiry of the supplier insurance policies that requires that the work order be authorised. If you change this value, it may affect the release of existing work orders, so you will be asked to confirm if you want to change this value when you save changes to the Defaults window.
Submission E-mail Body Text - This is the text of the e-mail that will be sent to the supplier when a work order is closed via the Work Order Closure tab. You can click on the ellipse button (...) next to the field to display a larger window to enter the text.
