The Asset Loans window has several different tabs for recording information about a loan. The tabs are: Browse, Details, and Comments.
The Browse tab is a list of the loan reservation items that have been added. You can filter the browse list of loan reservations in the same way as you filter a regular browse window.
The Details tab shows the detailed information that you can record about each loan reservation. The fields available on the Details tab are:
Reservation Number - This is the loan reservation number. Pinnacle will automatically assign the reservation number, and you cannot edit it.
Item Number - This is the loan item number. Each asset required for a loan is assigned to a separate loan item. Pinnacle will automatically assign the item number, and you cannot edit it.
Loanee Name - This is the name of the staff/non-supplier that the asset is to be loaned to. You must select a loanee from the list of staff & non-suppliers that have been set up in the Staff & Non-suppliers table.
Loan Status - This is the status of the loan, either Reserved, On Loan, Finalised or Cancelled. Pinnacle will automatically set the status of the loan based on the stage that the loan is at, and you cannot edit the status.
Loan Cost Type - This is the type of cost for the loan. You can choose either no cost for the loan, a fixed cost, or a rate based on the length of time that the loan is required for.
Loan Rate - If you select the Loan Cost Type as rate-based, you can type in the rate that the loan is to be charged at.
Loan Rate Time Units - If you select the Loan Cost Type as rate-based, you can type in the time units for the rate, either hour, day, week, month, or year.
Cost Subtotal - If the loan cost is rate-based, this is the number of time units that the loan is required for (based on the Required From and Required To fields) multiplied by the rate that the loan is to be charged at. If the loan cost is fixed, this is the lump sum charge for the loan.
Value Added Tax - This is the VAT (Value Added Tax) charged on the Cost Subtotal for the loan. This is calculated as the Cost Subtotal multiplied by the VAT rate, but you can overwrite this if you wish.
Total Cost - This is calculated as the Cost Subtotal plus the VAT. You cannot edit the total cost.
Item Required From - This is the date and time that the item for the loan is required from.
Item Required To - This is the date and time that the item for the loan is required until.
Item Pickup - This is the actual date and time that the loan item was picked up.
Item Return - This is the actual date and time that the loan item was returned.
Assets for Loan Item - This is the list of assets that are required for the loan. When you are adding a new loan, this is the list of loanable assets that are available during the time period of the loan. Once the loan has been added, this is the asset for the loan reservation item.
The Comments tab simply displays the comments field for the loan reservation item. You can type in any comments you wish to make about the loan reservation item.
