During the process of uploading stocktake data from the barcode reader or Personal Data Assistant (PDA), Pinnacle records any discrepancies between the data recorded during the stocktake and the data held in the asset register.
The Stocktake Exceptions window displays the exceptions and any available information about the asset and locations involved. When processing each exception, the exception type will determine what actions Pinnacle will take to process it.
Run the Assets Module.
Choose View Stocktake Exceptions from the Interface menu.
If there are some Stocktake Exceptions that can be actioned, Pinnacle will display the Stocktake Exceptions window, containing all the information required to process the exceptions. If there are no Stocktake Exceptions that can be actioned, Pinnacle will display a message, and will not open the Stocktake Exceptions window.
Open the Stocktake Exceptions window.
Highlight the exceptions that you wish to process.
You can use the Filter button to filter the list of exceptions. Use the Select All button to select all the exceptions in the list.
Click the Process button.
Pinnacle will take the action appropriate to the exceptions that you have highlighted. The exceptions will be removed from Pinnacle after it has been actioned.
Open the Stocktake Exceptions window
Highlight the exceptions that you wish to remove.
You can use the filter button to filter the list of exceptions. Use the Select All button to select all the exceptions in the list.
Click the Delete button.
Pinnacle will remove the selected exceptions from the list of exceptions, without taking any action for the exceptions.
Pinnacle records the following exception types:
Asset barcode does not exist - A barcode was scanned during the stocktake which Pinnacle didn't recognise as belonging to one of the assets in the asset register. This exception cannot be processed, and will not be displayed in the Stocktake Exception window.
Invalid location code - A location code was scanned during stocktake which was not one of the locations downloaded to the barcode reader/PDA. This exception cannot be processed, and will not be displayed in the Stocktake Exception window.
Location Differs for Asset - The location at which an asset was scanned during stocktake was different to the location recorded for the asset in the asset register. This exception can be processed. If processed, Pinnacle will update the location for the asset to the location that the asset was found in during the stocktake.
Stocktake Information could not be Updated - Pinnacle was unable to update the Last Stocktake Date and Condition Code for the asset. This exception can be processed. If processed, Pinnacle will update the Last Stocktake Date and the Condition Code for the asset.
Invalid Condition Code - A condition code was entered during the stocktake that is not a valid condition code in Pinnacle. This exception cannot be processed, and will not be displayed in the Stocktake Exception window.
Asset Barcode Not Supplied - The asset barcode number was not recorded during the stocktake, but the other stocktake information was collected. This exception cannot be processed and will not be displayed in the Stocktake Exception window.
Asset Not Updated Due to Access Code - Pinnacle was unable to update the Last Stocktake Date and Condition Code for the asset because the user performing the stocktake upload did not have rights to modify the asset because of access code restrictions. This exception can be processed by another user with appropriate rights to modify the asset. If processed, Pinnacle will update the Last Stocktake Date and the Condition Code for the asset.
Finalised Asset Found In Stocktake - The asset barcode number recorded during the stocktake belongs to an asset that has been finalised in Pinnacle. This exception cannot be processed.
