The Journal Entries window allows you to see the journal entries that have been added, and allows you to add new journal entries.
The Journal Entries table has several different tabs for adding journal entries. The tabs are: Browse and Details.
The Browse tab displays summary information about the journal entries. You can see the journal number, when the journal was raised, and the description of the journal entry.
The Details tab shows the detailed information that you can record about each journal entry. The fields available on the Details tab are:
Journal No - This is the journal entry number. This number is automatically assigned by Pinnacle when you add the journal entry. The journal number cannot be edited.
Amount - This is the amount of the journal entry.
Date/Time Raised - This is the date and time that the journal entry was added. Pinnacle will automatically enter the date and time when the journal entry is created. You cannot edit the date/time raised.
User - This is the user who added the journal entry. Pinnacle will automatically set the user ID when the journal entry is created. You cannot edit the User.
Description - This is the description or the reason for entering the journal entry.
Journal Type - Journal entries can be one of four types: Location, Asset, Budget, or Contract. This means that the journal entry is for changing the amounts against either a location, an asset, a budget code, or a contract.
Asset No - The asset the journal is being made for. This only applies to asset type journal entries.
Reason - The reason or type of account the journal entry is affecting. The options are Accumulated Depreciation, Depreciation Expense and Acquisition. This only applies to asset type journal entries.
From - This is the source of the journal entry. This is the location, budget code, or contract that you wish to take the journal amount from. When you select the type of journal entry, Pinnacle will automatically fill the drop down list box for the From field with the locations, budget codes or contracts that you can select from. For a one-sided journal entry, choose "Suspense" in the From field.
To - This is the target of the journal entry. This is the location, budget code or contract that you wish to post the amount to. When you select the type of journal entry, Pinnacle will automatically fill the drop down list box for the To field with the locations, budget codes or contracts that you can select from. For a one-sided journal entry, choose "Suspense" in the To field.
