Pinnacle allows you to define your own "financial" years, and the periods within the years that you wish to record costs against. These periods allow you to break down the costs during a financial year.
The Budget Years table has several different tabs for recording information about a year. The tabs are: Details, Budget Periods, and Schedule Periods.
The Details tab displays all the years that have been defined.
You can enter the following information about a year on the Details tab:
Year - This is the name of the year. You can call it "1996/1997", or "First Year" or any other name that you wish to identify this year by.
From - This is the starting date for the year. You can only enter this for the first year you define. Any subsequent years that you define will default the From date to the next day after the End date of the previously defined year. That is, if you have one year with the From date as "01/01/96" to "31/12/96" and you add another year, it's From date will default to "01/01/97".
To - This is the ending date for the year. You can enter any date after the From Date.
Last Post - This is the last date within the year that amounts can be posted to this year. When the date of a posting falls after this date, it can no longer be posted to this year.
MWA Series - This is the series to use for work orders raised within the specified From and To dates for the year.
The Budget Periods tab contains all the information about the budget periods that have been defined for the year that is selected. When you define the budget periods for the year, the system will automatically number the budget periods for you. These numbers cannot be altered.
When you add the first budget period for a financial year, the system will default the budget period starting date to the starting date of the financial year, and will also default the budget period ending date to the ending date of the financial year. You can then edit the budget period ending date to allow for more periods in the financial year if you wish.
You can enter the following information about a budget period on the Budget Periods tab:
From - This is the starting date of the budget period. It must fall within the start date and end date for the year in which this budget period is being defined. When you add a new budget period, if there are other budget periods already defined for this financial year Pinnacle will default the From date to the next day after the last day of the previous budget period. For example, if the previous budget period finished on the "30/04/96", Pinnacle will default the From date for the next new budget period to "1/5/96".
To - This is the ending date of the budget period. It must fall within the start date and end date for the year in which this budget period is being defined, and it must be after the starting date of the budget period.
The Scheduling Periods tab contains all the information about the scheduling periods that have been defined for the year that is selected. When you define the scheduling periods for the year, the system will automatically number the scheduling periods for you. These numbers cannot be altered.
When you add the first scheduling period for a financial year, the system will default the scheduling period starting date to the starting date of the financial year, and will also default the scheduling period ending date to the ending date of the financial year. You can then edit the scheduling period ending date to allow for more scheduling periods in the financial year if you wish.
You can enter the following information about a scheduling period on the Schedule Periods tab:
From - This is the starting date of the scheduling period. It must fall within the start date and end date for the year in which this scheduling period is being defined. When you add a new scheduling period, if there are other scheduling periods already defined for this financial year Pinnacle will default the From date to the next day after the last day of the previous scheduling period. For example, if the previous scheduling period finished on the "30/04/96", Pinnacle will default the From date for the next new scheduling period to "1/5/96".
To - This is the ending date of the scheduling period. It must fall within the start date and end date for the year in which this scheduling period is being defined, and it must be after the starting date of the scheduling period.
