A corrective work order passes through different stages of a life cycle that starts with the work order's registration and ends with the finalisation of the work order. There are five stages in the work order life cycle. The stages are:
Registered - When a new work order is added from the Work Order Module, its status is set to Registered. A registered work order has no tasks, and cannot proceed to subsequent stages of the life cycle until tasks are added. Registered work orders can be cancelled, but not included in a schedule. The details of a registered work order that can be edited are governed by the Work Order defaults. Tasks and task details can be recorded. A registered work order is automatically placed on the Backlog. The work order can be printed.
Outstanding - Once a work order has tasks added to it, its status changes to Outstanding. An outstanding work order can be cancelled or included in a schedule. An outstanding work order must be commenced in order to proceed to subsequent stages of the life cycle. The details of an outstanding work order that can be edited are governed by the Work Order defaults. Tasks and task details can be recorded. The work order can be printed.
In Progress - Once a work order has been commenced, its status changes to In Progress, and the estimated job cost of the work order is posted as a commitment in the ledger. Work and materials can now be recorded against the work order as they progressively occur, which in turn incurs expenditure. A work order which is In Progress cannot be cancelled or included in a schedule. The details of an In Progress work order that can be edited are governed by the Work Order defaults. New tasks can be added, and existing tasks can be edited if no actual expenditure is recorded against the task. The work order can be printed, and the work and materials recorded to date will be listed.
Work Completed - Once all of the work and materials that are necessary to complete an work order have been recorded, the work order status is Work Completed. Additional work and materials can still be recorded against the work order, but the work order cannot be cancelled or included in a schedule. The details of a Work Completed work order that can be edited are governed by the Work Order defaults. No task details can be changed. The work order can be printed, and the work and materials recorded to date will be listed.
Finalised - Once all of the work and materials used for a work order have been recorded, and any other information needed to finalise a work order has been recorded, its status changes to Finalised. The details of a Finalised work order that can be edited are governed by the Work Order defaults, and the work order cannot be cancelled, or included in a schedule. Finalised work orders are automatically removed from the Backlog, and are placed in the Work Order History list. The work order can be printed.
In addition to the five normal stages of a work order's life cycle, you can also change the status of a work order to Cancelled. A work order can only be cancelled when the status is Registered or Outstanding. No editing can be done to cancelled work orders, other than editing the work order comments. Cancelled work orders are removed from the Backlog, and are placed on the Work Order History list.
