Stock Stocktake Exceptions

During the process of uploading stocktake data from a barcode reader, Pinnacle records any discrepancies between the data recorded during the stocktake and the data held in the Stock module.

Viewing Exceptions

In order to correct any exceptions that occurred during a stocktake, you must look at each exception to determine whether the exception is correct, or whether perhaps an error was made when entering the quantity of stock for a location.

To view exceptions that have been recorded:

  1. Run the Stock Module.

  2. Choose View Stocktake Exceptions from the Interface menu.

If any exceptions have been registered, the Stocktake Exceptions window will be displayed. This window displays the stock item details, the location details, the quantity of stock that was found in the location during the stocktake, and the quantity of stock that is recorded in the location in Pinnacle.

Actioning Exceptions

If the quantity of stock found at the location during the stocktake is correct and should be reflected in the Stock module, you will need to action the exception. Actioning the exception means updating the Stock module with the information recorded at stocktake.

To action an exception:

  1. Run the Stock Module.

  2. Choose View Stocktake Exceptions from the Interface menu.

  3. Highlight the exception you want to action in the Stocktake Exceptions window.

    You can use the Filter button to filter the list of exceptions. Use the Select All button to select all the exceptions in the list.

  4. Click the Process button.

    The system will update the stock on hand in that location, and will remove the exception from the list.

Deleting Exceptions

If you want to ignore a stocktake exception and leave the quantity of the stock item as it was before the stocktake, you will need to delete the exception. Deleting an exception means removing it from the Stocktake Exception list without updating the Stock module.

To delete an exception:

  1. Run the Stock Module.

  2. Choose View Stocktake Exceptions from the Interface menu.

  3. Highlight the exception you want to delete in the Stocktake Exceptions window.

  4. Click the Delete button.

    The system will remove the exception from the list without updating the stock on hand in that location.

Clearing Exceptions

When you have finished actioning and deleting exceptions and you have printed a stocktake exceptions report, you should clear any remaining exceptions. This will reset Pinnacle's exception list in preparation for your next stocktake.

To clear all exceptions:

  1. Run the Stock Module.

  2. Choose Clear Stocktake Exceptions from the Interface menu.

  3. Confirm that you want to clear the exceptions file.

    The system will display a message telling you that all exceptions have been cleared.
